Software can automate a task while leaving the surrounding organisation almost unchanged. An order moves faster through one department, then waits in another team's inbox. The resulting delay is easy to mistake for a technology problem because the newest system is the most visible part of the process.
Handoffs expose the boundaries between teams. A request may lack a required attachment, use an unfamiliar label or arrive without a named owner. Each receiving department then spends time interpreting work that the previous department considered complete. Automating that transfer can accelerate confusion as efficiently as it accelerates useful information.
Mapping a single transaction from start to finish offers a more practical starting point. Staff can identify what information changes hands, who checks it and what happens when it is incomplete. The exercise is especially revealing when it includes ordinary exceptions, such as a revised delivery address or a customer asking to change an order.
An effective redesign gives every handoff a clear acceptance condition and an escalation route. Performance should be assessed across the full journey, including waiting time and rework. A faster individual screen is valuable only when it helps the next person move the work forward.
