The Quiet Value of a Well-Written Operating Procedure

An operating procedure is rarely the most celebrated document in a company. Yet it often determines whether knowledge survives a staff change or remains dependent on the memory of one experienced colleague. Its usefulness lies in helping someone perform a task, not in demonstrating how much the organisation knows.

A good procedure starts with the situation in which it applies. The reader needs to recognise the task, know what inputs are required and understand what a completed result looks like. Numbered steps help, but they do not replace explanations of the decisions that can interrupt the sequence.

Exceptions deserve their own treatment. If a required field is missing or a result falls outside an expected range, the document should identify the next person to involve. Vague instructions to use judgement transfer the hardest part of the process to the least experienced reader.

Maintenance is a practical test of ownership. Each procedure needs someone responsible for reviewing changes and removing obsolete versions. Asking a colleague unfamiliar with the task to follow the instructions can reveal omissions that the author no longer notices. A short document that works at the point of use contributes more than a comprehensive manual that nobody can navigate.
